Preparing for Outlook to Gmail Conversion

On Thursday, June 16, all staff will be transitioned from Microsoft Outlook email to Google’s Gmail.

This change is part of a broader commitment to the Google platform and will provide staff will an email solution identical to what our students use. The transition will also save the district thousands of dollars in licensing costs as well as equipment costs.

While many staff already use Gmail for personal use and will transition easily to the new email system, staff who are not familiar with Gmail or who use the advanced features and calendar functions of Outlook may need more detailed information. Training opportunities and more information will be provided in the coming weeks.

For now, the first steps in preparation for the July 16th conversion are to read the Gmail Migration document below and to begin deleting any email you no longer need and do not want copied over to your Gmail. You can also review the documents in steps 3 and 4 which compare Outlook to Google.

  1. Read this Gmail migration document.
  2. Clean up your email in Outlook by June 10, 2016.
  3. See the difference between Outlook Mail and Gmail.
  4. See the difference between Outlook Calendar and Google Calendar.

EMAIL ARCHIVING POLICY: Federal and state regulations require schools to archive and store email in order to be in compliance with legal e-discovery requirements. In order to meet these requirements, RISD archives all incoming and outgoing email and messages of employees as determined by the Federal Rules of Civil Procedure (FRCP) regulations which require incoming and outgoing email and messages to be preserved for up to seven years.
